Health and Safety Policy

Introduction:

Gama Safety Health and Safety Policy, hereinafter referred to as the “Policy”, outlines the duties and obligations of the company’s employees regarding a safe working environment. This Health and Safety Policy is put in place to ensure the safety of all the employees, contractors, and any authorized visitors on company premises. The company fully accepts any rules and regulations enacted by the legislature. The company’s Owner will conduct an annual follow-up on the policy and report its effectiveness.

Obligations:

The company is fully committed to ensuring a safe and healthy environment on its premises. To do so, the company will take all necessary and possible measures to remove any hazards or risks. Further, the company will ensure that all its operations are carried out safely and do not pose any danger to either the workers or authorized visitors.

Company Responsibilities:

The company will ensure the following to provide a safe and healthy environment:

  • Ensure a safe work environment by housing safety gear in office for worker usage.
  • The company will provide periodic training and safety drills.
  • Provide information regarding the workers 3 rights, and responsibilities towards Health and Safety.
  • Listen to worker’s complaints about health and safety and co-operate with them.
  • The company will conduct 5 safety inspections a month to recognize and fix hazards.

Worker Responsibilities:

The workers have the following responsibilities:

  • The worker, to their maximum capacity, will adhere to the safety practices.
  • They will ensure reasonable care of themselves and co-workers.
  • Participate in training and safety drills.
  • Wear protective equipment while working.
  • Report any safety issue immediately to the company.
  • Read and comply with the instructions provided on the company premises.

Purpose: The purpose of this policy is to uphold the highest standards of academic integrity within Gama Safety Canada. This policy aims to ensure that all academic activities are conducted with honesty, trust, fairness, respect, responsibility, and courage.

  • Cheating: Obtaining or attempting to obtain credit for work or improvement in performance evaluation by dishonest or deceptive means.

Procedures:

  1. Reporting Violations:
    • Any student or staff who suspects a violation of academic integrity must report it to the designated academic integrity officer.
    • Reports should include details of the incident, dates, and any witnesses.
  2. Investigation:
    • The academic integrity officer will investigate all reported violations promptly and thoroughly.
    • Confidentiality will be maintained to the extent possible.
    • The investigator will collect evidence, interview witnesses, and document findings.
  3. Consequences:
    • Based on the investigation's outcome, appropriate disciplinary action will be taken against individuals responsible for violations.
    • Consequences may include academic penalties, suspension, or expulsion, depending on the severity of the violation.
  4. Appeals:
    • Individuals have the right to appeal decisions related to academic integrity violations.
    • Appeals must be submitted in writing within a specified timeframe.
    • An independent committee will review appeals and make a final decision.

  • Gama Safety Canada will provide training programs on academic integrity for students, instructors, and staff.

Attendance Policy

Gama Safety Canada Attendance Policy

Purpose: The purpose of this policy is to ensure a consistent and reliable attendance standard for all employees and students of Gama Safety Canada. Regular and punctual attendance is essential for maintaining a productive and effective work and learning environment.

Scope: This policy applies to all employees, students, and any other individuals associated with Gama Safety Canada.

Policy:

  1. Attendance Requirements:
    • All employees and students are expected to attend their respective duties, classes, and assignments regularly and punctually.
    • Any absence must be reported to the immediate supervisor or instructor as soon as possible, preferably before the start of the scheduled workday or class.
  2. Reporting Absences:
    • Planned absences must be communicated in advance to the supervisor or instructor, detailing the reason and duration.
    • Unplanned absences should be reported as soon as possible, including an explanation for the absence and an estimated return date.
  3. Documentation:
    • Medical absences may require a valid medical certificate.
    • Other absences might need supporting documentation as requested by the supervisor or instructor.
  4. Tardiness:
    • Punctuality is crucial; repeated tardiness will not be tolerated and may result in disciplinary actions.
    • Employees and students must inform their supervisor or instructor of any expected delays.
  5. Leave of Absence:
    • Requests for leaves of absence, for personal, medical, or other valid reasons, must be submitted in writing to the supervisor or instructor for approval.
    • The request should be made well in advance, outlining the reasons and duration of the leave.
  6. Consequences of Excessive Absences:
    • Excessive absences or chronic tardiness may lead to disciplinary measures, including but not limited to suspension or termination of employment, or dismissal from the course.
    • Employees and students will have the opportunity to provide explanations for their absences before any disciplinary action is taken.
  7. Make-Up Work:
    • It is the responsibility of employees and students to make up any missed work or assignments due to their absences.
    • Supervisors and instructors will provide necessary guidance and support to facilitate this process.
  8. Monitoring and Review:
    • Attendance records will be regularly reviewed to ensure compliance with this policy.
    • This policy will be periodically evaluated and updated to remain effective and relevant.

Responsibilities:

  • Employees and Students: Adhere to the attendance policy and promptly report any absences.
  • Supervisors and Instructors: Monitor attendance, provide guidance on make-up work, and address any attendance-related issues.

This policy aims to ensure that students' performance is evaluated accurately and objectively, promoting academic excellence and integrity.

Scope: This policy applies to all students, instructors, and staff members involved in any academic activities at Gama Safety Canada.

Assessment Methods:

  1. Formative Assessments:
  • Ongoing assessments conducted during the course to monitor students' progress and provide feedback.
  • Examples include quizzes, assignments, class participation, and practical exercises.

  • Assessments conducted at the end of a course or module to evaluate students' overall learning and performance.
  • Examples include final exams, comprehensive practical assessments.

Grade Descriptions:

Assessment Procedures:

  1. Assessment Schedule:
    • Instructors will provide students with an assessment schedule at the beginning of the course, detailing the types and dates of assessments.
    • Any changes to the assessment schedule must be communicated to students in a timely manner.

    • Students are required to submit assessments by the specified deadlines.
    • Late submissions will be subject to penalties unless prior arrangements have been made with the instructor.

Complaints and Appeals Policy and Procedure

Complaints and Appeals Policy and Procedure

Gama Safety Canada is committed to providing the highest quality of service to learners, employers and customers. 

Gama Safety Canada recognise that learners and employers have the right to raise concerns or complaints about our services and have access to clear information on how to voice complaints or concerns. 

As part of our Quality Assurance Monitoring and Feedback, we have produced the Learners Complaints and Appeals Policy, process which aims to evaluate the level of quality through the process of delivery of educational and training programmes, information advice guidance and gathering information on learner/client complaints. 

All learners are be made aware of this procedure during initial learner contact/drop-in, sign up or during an appointment with information, advice and guidance or assessor.  In response to the learner complaint procedure/policy, We will use the information contained within the learner complaint forms to monitor and evaluate service provision as a direct response to a learner’s complaint. 

All complaints will be dealt with according to the individual merit of the complaint. If a satisfactory settlement of the complaint is not initially met through the Gama Safety Canada’s management team, then the matter will be brought to the attention of Gama Safety Canada’s CEO.

Gama Safety Canada agrees to the need of a complaint’s procedure, which learners, Instructors and employers can use in the event that they wish to make a complaint in relation to an appropriate aspect of the School’s operation.

Gama Safety Canada has a responsibility to inform learners of their complaints policy. To which they can request to see evidence of the centre complaints procedure as part of their quality assurance monitoring.  

The complaints procedure will:

  • Identify the person(s) or process with whom the complaint is lodged
  • State the form in which the complaint is made
  • Make clear the times within which complaints may be lodged and must be decided.

The existence of a complaint procedure will be explained to all learners during initial contact.

Learners who have a complaint with their school (course, instructor, etc..) must first raise the matter using their school’s complaints/appeals procedures.

Learners can access the learner complaint procedure by completing a Learner Complaint Form, which are available at the Front Desk.

Staff will report all complaints to the Manager who will then provide appropriate feedback to the learner.  It is not possible to predict the precise nature of learner complaints, and each one will be taken on its own merits, however, the Manager will in each case examine the complaint to determine whether:

  • The learner has been dealt with in accordance with the Mission Statement and other policies contained within the quality assurance portfolio.
  • The information/learning activity provided to the learner was both relevant/appropriate and up-to-date and met quality control standards.
  • The referral procedure (where appropriate) was followed correctly, and the outcome of the referral adequately addressed the learners needs.

If after doing this, they are unhappy with the outcome provided, they may raise the complaint with the Management Team.

Appeals Procedure 

Where an assessment decision has been made that the learner does not agree with, then a formal letter of appeal should be sent to the Course Manager.

A panel made up of Gama Safety Canada’s instructors will judge the evidence and report back to the Course Manager.

Within 10 days of receipt of the report the Manager will advise the learner in writing of the decision. 

Where the learner still believes this to be unsatisfactory, he/ she can seek further appeal. The CEO and Administrator  will review the initial assessment, the complaint, the appeal and the appeal results and judge the evidence and report back.

Complaint and Appeal Process 

We will take any concern, complaint or appeal made against the company or any member of staff seriously and will investigate it promptly, for resolution as quickly as possible.

We will ensure that complaints are dealt with consistently, fairly and sensitively within clear time frames. We will listen carefully to complaints and treat complaints as confidential, where possible.

We will Investigate the complaint fully, objectively and within the stated time frame. Notify the complainant of the results of the investigation and any right of appeal. 

A complaint is any expression of dissatisfaction by an individual, whether justified or not. An individual may make a complaint if they feel we have:

  • Failed to provide a service or an acceptable standard of service
  • Made a mistake in the way the service was provided
  • Failed to act in a proper way
  • Provided unfair service

There are three stages to the complaint’s procedure:

Stage One - Informal

Stage Two  - Formal 

Stage Three – Appeal

 

Stage One - Informal 

Gama Safety Canada encourages learners, staff, employers and customers to aim to resolve any issues or concerns through open and informal procedures in the first instance by speaking to a member of the management team.

Any person with a complaint or concern is invited to discuss the matter first with an appropriate member of staff. In the case of learners this could be their Instructor. They will respond with advice and guidance as how to proceed from this point to resolve the issue raised. In the case of staff, this should always be their Manager. If the complaint is about their Manager, then the CEO would be the next in line.

Stage Two - Formal 

If the person is not satisfied with the informal route, then they can submit a formal complaint.

Receipt of the complaint will be acknowledged within writing 2 working days from when the formal complaint is received.

A member of the management team will deal with the complaint and a full investigation will be carried out. This may include further discussions, clarifications or meeting with the complainant.

We will reply within 15 working days with a full response outlining the outcomes of the investigation in writing. If it is not possible to respond within this time, for example because a detailed enquiry is still taking place, or staff absence - we will issue an interim response, explaining what is being done to deal with the complaint and when a full reply can be expected.

Gama Safety Canada will notify you within 10 working days if the complaint is not upheld, reasons will be given as to why.  

Stage Three – Appeal

If the complainant is not satisfied with the outcome, they are entitled to appeal the decision in writing to an appointed person who has no involvement in the complaint or investigation within 5 working days from the date the outcome letter was received. The appointed person should be a senior staff member and have had no substantial involvement in the dealing of the complaint.  All complaints will be monitored and where possible used to improve and develop our services. 

Anti-Bullying and Harassment Policy

Purpose: The purpose of this policy is to ensure a safe, respectful, and inclusive environment for all employees, students, and any other individuals associated with Gama Safety Canada. This policy aims to prevent and address bullying and harassment in the workplace and learning environment.

Scope: This policy applies to all employees, students, and any other individuals associated with Gama Safety Canada.

Definitions:

  • Bullying: Repeated, unreasonable behavior directed towards an individual or group that creates a risk to health and safety. This includes physical, verbal, or psychological abuse.
  • Harassment: Unwanted conduct related to an individual's protected characteristics, such as race, gender, age, disability, sexual orientation, religion, or any other characteristic protected by law, that creates an intimidating, hostile, or offensive environment.
  • Protected Characteristics: Characteristics protected by law, including race, gender, age, disability, sexual orientation, religion, and more.

Examples of Bullying and Harassment:

  • Abusive, insulting, or offensive language or comments
  • Aggressive or intimidating conduct
  • Belittling or humiliating comments
  • Victimization or exclusion
